What we collect when you use this website, why we collect it, and what we do with it afterwards. Written to describe what this site actually does rather than to cover every eventuality.

Who we are

Scarlet Heating & Plumbing (“we”, “us”) is the data controller for personal information collected through www.scarletheating.co.uk. You can reach us at info@Figofoodsupply.uk, on 07490 623966, or by post at 85 Hilltop, Swiss Valley, Llanelli, SA14 8DB.

What we collect, and when

When you send an enquiry or book an engineer

The booking wizard and contact form ask for your name, email address, telephone number and — optionally — your postcode, address, the service you need, how urgent it is, your preferred date and a description of the problem. Everything you type is sent to us and nothing else is added behind the scenes.

When you sign up for a service reminder

We collect your email address and, if you give it, the month your boiler was last serviced. That is used for one reminder a year and nothing else.

Automatically, when you use the site

  • Our enquiry endpoint temporarily records the IP address a submission came from, purely to rate-limit automated abuse. It is held in memory only and is not written to a database or linked to your enquiry.
  • Our hosting provider keeps standard server logs (IP address, timestamp, requested page, browser user agent) for security and diagnostics, on their own retention schedule.

What we deliberately do not do

  • We do not use advertising or tracking cookies, and there is no cookie banner because there is nothing to consent to.
  • Our fonts are served from our own domain, so your browser makes no request to Google or any other third party when the page loads.
  • We do not build profiles, and we do not make automated decisions about you.
  • We never sell, rent or share your details with marketing companies.

Why we are allowed to use it

  • To answer your enquiry and quote for work — because you asked us to, and because it is necessary to take steps before entering a contract with you.
  • To carry out and invoice work — performance of our contract with you.
  • To send service reminders — your consent, which you can withdraw at any time using the link in the email.
  • To keep gas safety and installation records — our legal obligation under gas safety and Building Regulations requirements.
  • To prevent spam and abuse of our forms — our legitimate interest in keeping the site usable.

Who else sees it

Enquiries are delivered to our own inbox by email. To do that we use the following processors, who act on our instructions only:

  • Our website host — serves the site and keeps standard server logs.
  • Our transactional email provider — relays the enquiry from the website to our inbox.
  • Our email and accounting providers — where enquiries and invoices are stored once we act on them.

We will also share information where we are legally required to — for example, notifying a gas installation to the relevant body, or reporting an unsafe appliance.

How long we keep it

  • Enquiries that do not become work — kept for a reasonable period in case you come back to us, then deleted.
  • Customer records and invoices — retained for the period required by HMRC for tax purposes.
  • Gas safety records and certificates — retained for at least the period required by the applicable gas safety regulations.
  • Reminder sign-ups — until you unsubscribe.

Your rights

Under UK data protection law you can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, ask us to delete it, ask us to restrict how we use it, object to our using it, and ask for it in a portable format. Where we rely on your consent, you can withdraw it at any time.

Security

The site is served over HTTPS and enquiry data is transmitted encrypted. Access to our inbox and records is restricted to the people who need it. No system is perfectly secure, but we do not ask for anything through this website that we do not need — and we never ask for card details, bank details or passwords on it.

Children

This site is aimed at people arranging work on a property and is not directed at children. We do not knowingly collect information about anyone under 16.

Changes

If we change how we handle personal information we will update this page and the date at the top of it.
