The rule in one line

Every gas appliance and flue in a let property must be safety checked every 12 months by a Gas Safe registered engineer, with a copy of the record to the tenant within 28 days.

Gas Safety (Installation and Use) Regulations 1998, regulation 36. Letting without a valid record is a criminal offence, and it is the sort of thing an insurer will look for very carefully after a claim.

Four obligations, and most landlords only remember the first

The check itself is the easy part. It is the distribution and record-keeping that trip people up when something goes wrong.
  • Check every 12 months

    Every gas appliance, fitting and flue in the property must be checked for safety at intervals of no more than 12 months by a Gas Safe registered engineer.

  • Give the tenant a copy within 28 days

    A copy of the record must reach your existing tenants within 28 days of the check being completed.

  • Give new tenants a copy at the start

    Any new tenant must be given a copy before they move in — not at some point afterwards.

  • Keep records for two years

    You must retain copies of the records for at least two years. We keep a copy on file too, so a lost certificate is a five-minute problem rather than a re-inspection.

What happens if an appliance fails

If we find something that is Immediately Dangerous or At Risk, we have to act on it there and then — that is not discretionary. With your permission we will isolate or cap the appliance, label it, and give you a written explanation of what is wrong and what it will take to put right. You get a quote the same day, and the certificate is issued once the remedial work is done.

We will never quietly pass something that should not pass, and we will never invent a fault to sell you a repair. Both are equally serious.

The two-month rule is your friend

Renew inside the final two months and your expiry date does not move. That means you can pull every property in your portfolio onto the same month without ever losing a day of cover.

The rules are stricter than most people realise, and the difference between a certificate and a service catches a lot of landlords out.

How often do I need a landlord gas safety certificate?
Every 12 months. As a landlord you are legally required under the Gas Safety (Installation and Use) Regulations 1998 to have all gas appliances and flues in the property checked annually by a Gas Safe registered engineer, to give the tenant a copy of the record within 28 days, and to give new tenants a copy at the start of the tenancy. Records must be kept for two years.
Can I renew my CP12 early without losing time?
Yes. A check carried out in the last two months of the current certificate keeps the original expiry date, so renewing early does not shorten your cycle. That makes it straightforward to line several properties up onto the same month.
Is a gas safety certificate the same as a boiler service?
No, and this catches a lot of landlords out. A CP12 is a safety check: it confirms the appliance is safe to use right now. A service is maintenance: cleaning, testing and adjusting the appliance to keep it running efficiently and to satisfy the manufacturer's warranty. Many landlords sensibly have both done in the same visit, which we can do.
Do you handle access with tenants directly?
Yes, if you would like us to. Give us the tenant's contact details and we will arrange a time with them, keep you updated, and send you the certificate as soon as it is issued. For portfolios we can put all your properties on one renewal schedule.
Do I need to be at home for the appointment?
Someone over 18 needs to be there to let us in and to be shown the work at the end, particularly for gas work where we have to demonstrate the appliance is safe. For landlord certificates we are happy to arrange access directly with your tenants.
